Payment Policies

1. A deposit ("deposit") of one-third of the cost of the vacation is required to hold your reservation. We will email you a receipt whenever you make a payment. The remaining balance is payable in two equal installments. Installment 1 is due no later than 6 months before the tour, and installment 2 is due no later than 4 months before the tour. If you sign up within 4 months of the tour start date the full amount of the tour is payable upon registration.

 

2. We prefer payment via personal/cashier's check or bank transfer. If you choose to pay by credit or debit card, there will be an additional fee of 3% of the charged amount. Please contact us for payment details.

Cancellation Policies

​

TOURS OPEN TO THE GENERAL PUBLIC (NOT APPLICABLE TO PRIVATE TOURS)

1.If you cancel more than 6 months before the start of the tour we will refund your deposit, minus a cancellation fee of $300. We will also refund any installments already paid.

2. If you cancel between 3 and 6 months before the start date you will forfeit the deposit and the first installment. If you have already paid the second installment, you will receive a refund of that amount.

3. If you cancel with three months of the start date, you will lose all funds paid to Elsewhere Small Group Travel. because at that late date it is difficult to find replacement travelers and we have fixed expenses that have been paid in advance.

4. No refunds will be given for arriving late or leaving early. There are no exceptions to the above cancellation policies including personal injuries/illness, travel delays, flight cancellations, or inclement weather.

5. If Elsewhere Small Group Travel cancels a vacation for any reason, any and all deposits and payments to date will be refunded in full, which constitutes settlement fee. Elsewhere Small Group Travel will not be held responsible for any additional travel expenses incurred in preparation for cancelled vacations including airline tickets.


6. Insurance. Guests must have medical insurance that includes coverage for travel abroad and COVID-19 cover, as well as Travel Insurance and Trip Cancellation Insurance. If you purchase flights with a credit card you may be eligible for travel insurance. Check with your credit card company. Airlines also travel insurance options when you book your flight. Travel insurance can be purchased through a travel agency, American Express, or through any number of companies online.

PRIVATE TOURS ONLY

1. You must purchase trip cancellation insurance as no refunds can be given on private tours. Private tours are organized and costed according to number of guests and all arrangements paid for in advance.

2. No refunds will be given for arriving late or leaving early. There are no exceptions to the above cancellation policies including personal injuries/illness or inclement weather.

3. If Elsewhere Small Group Travel  cancels a vacation for any reason, any and all deposits and payments to date will be refunded in full, which constitutes settlement fees. Elsewhere Small Group Travel will not be held responsible for any additional travel expenses incurred in preparation for cancelled vacations including airline tickets, travel delays, flight cancellations, or illness. You are required to have travel/trip cancellation insurance that will cover these eventualities.

Forms

All guests must sign participation forms and email them to us no later than two months before the start of the tour. These include: Emergency contact form, proof of medical insurance, participation agreement and assumption of risk form, medical disclosure form, and policies and procedures form.
